How do the Handheld Contact Alerts work?

This article will explain the Alerts feature that has been added to the Home view and how it works.  This view will display all upcoming Annual Events as well as activities with alarms.  See the directions below for the required operating system.

Prerequisites:

Annual Events are specific field types in the Act! database.  An example of this would be 'Birth Date' or 'First Purchase' fields.

These Annual Event fields would need to be mapped and synced to the device prior to utilizing 'Alerts'.  In order to map these fields to the device, click here for custom field mapping directions.


iOS (iPhone/iPad):
  1. Open the Handheld Contact software and from the Home view choose 'Settings'.
  2. Tap on 'Notifications & Alerts' option.
  3. The setting 'Notifications' will be enabled by default.  Keep this option turned ON.
  4. Select 'Daily Alerts'.  The option 'Enable Daily Alerts' is disabled by default.  This will allow the user to receive an alert on a daily basis to provide an overview of what will appear in 'Alerts'.
  5. If 'Enable Daily Alerts' are enabled, there will be a second option that gets activated.  It is listed as 'Alert Time'.  The user can define exactly what time they want the daily alert to appear.
  6. The final setting under 'Notifications & Alerts' is 'Upcoming Alerts'.  This setting will define the 'Upcoming' section of the 'Alerts' on the Home view.  This setting is disabled by default. 
  7. Once enabled, the 'Reminder' option is available.  '3 Days Ahead' is the default.  This can be set anywhere from '1 Day' to '14 Days'.
  8. Open the 'Alerts' option from the Home view.
  9. Default view will be Today.  All activities with alarms attached as well as Annual Events that fall on the date will be displayed.
  10. Selecting 'Upcoming' tab will display the activities with alarms as well as Annual Events that fall within the setting applied in Step 7 above.

Android:
  1. Open the Handheld Contact software and from the Home view choose 'Settings'.
  2. Under the 'Alerts' section are two options.  They are: 'Upcoming Alerts' and 'Daily alert notification'.
  3. 'Upcoming Alerts' will define how many days in the future that the activities/Annual Events will appear.  The default is set at '3 days ahead'.  This can be changed from '1 day ahead' to '14 days ahead'.
  4. 'Daily alert notification' will be the time applied where the user will receive a daily notification of all items appearing in the 'Alerts'.  The default time applied is '9am' but it can be customized to whatever time is needed.
  5. Open 'Alerts' option from the Home view.
  6. Default view will be 'TODAY'.  All activities with alarms attached as well as Annual Events that fall on the date will be displayed.
  7. Selecting 'UPCOMING' tab will display all activities with alarms attached as well as Annual Events that fall within the setting applied in Step 3 above.
